What End Users Experience
This page explains what candidates, vendors, or internal team members experience when they’re invited to use Validia for identity authentication.
Validia is agentless and runs within your existing video calls. No downloads. No extensions. No apps. Just secure identity checks where and when they’re needed.

Anyone invited to a Validia-authenticated meeting follows the same onboarding flow.
Step-by-Step: End User Flow
1. Receive an Invite
The user gets an onboarding link via email or calendar invite.
This link is sent automatically when added through your ATS, calendar, or the Validia dashboard.
Each link is unique and protected with MFA.

2. Accept Biometric Consent
Before proceeding, users are shown a short consent form outlining how facial and voice data will be used:
For the sole purpose of real-time identity authentication
Not shared with third parties
Never visible to admins or other users
Automatically deleted based on your organization's retention policy
The user must agree to this policy before continuing.

Validia complies with biometric privacy laws including BIPA and GDPR.
3. Create an Account
After accepting consent, the user enters name, email, and password.
Multi-factor authentication (MFA) is required via SMS or authenticator app.
4. Capture a Bioprint
Users are guided through a quick two-step process:
Facial Capture
Look straight into the camera

Slowly turn head to the left, then right
Takes less than 15 seconds

Voice Capture
Read a short randomized sentence aloud (10–15 seconds)
Preview and re-record if needed

5. Ready for Verification
Once completed:
The user can join any Validia-authenticated meeting
They won’t need to redo onboarding
Bioprints are stored securely, never displayed, and only used for real-time verification.

During the Meeting
The Validia bot joins automatically at the meeting start time
It silently authenticates users using their bioprint
The user does not need to take any action
If authentication fails:
They may be asked to adjust camera
They can fall back to MFA or a secure email link depending on the use case.
